Information on the collection of personal data
General
FONAP processes personal data exclusively in accordance with the EU General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG). Personal data include, for example, name, address, email addresses and user behaviour.
FONAP processes personal data only to the extent necessary. Which data are required and processed, for which purpose and on which legal basis, depends primarily on the type of service you use, or on the purpose for which they are needed.
Collection of personal data when visiting our website
When you visit the FONAP website, the browser you use automatically transmits data that are stored in a log file. FONAP itself processes only those data that are technically required to display the website correctly and to ensure stability and security.
Among other things, each access is logged with the page requested, the IP address of the accessing device, the page from which the user was referred, and the date and time of the request. A detailed list of the stored data can be found here.
The data in the log file are deleted after five days.
Cookies
When you visit the FONAP website, small text files known as cookies are stored on the visitor’s computer. They are used to make the website more user-friendly and effective overall. Cookies cannot run programmes or transmit viruses to your computer.
The FONAP website uses cookies that are automatically deleted as soon as the browser in which the page is displayed is closed (so-called temporary cookies or session cookies). This type of cookie makes it possible to assign various requests from a browser to a session and to recognise the browser on subsequent visits (session ID).
Analytics service Matomo (user analysis)
FONAP uses the open-source software “Matomo” (formerly “Piwik”) on its website to analyse usage data. The data are stored and evaluated in fully anonymised form.
FURTHER INFORMATION ON USAGE ANALYSIS
Matomo uses cookies that enable a statistical analysis of the use of the FONAP website. Matomo cookies contain no information that would make it possible to identify a user. Each time a user accesses the FONAP website and each time a file is retrieved, data on this process are temporarily stored and processed in a log file. Before storage, each record is anonymised by modifying the IP address.
In the context of public relations work and the needs-based provision of information, FONAP evaluates usage information for statistical purposes (legal basis: Art. 6(1)(e) GDPR). In doing so, we pursue our legitimate interest in optimising our website for our public presentation.
The data generated with Matomo are processed and stored exclusively in Germany by Matomo on behalf of FONAP.
Further information on data protection at Matomo can be found here: https://matomo.org/gdpr-analytics/.
Information on objection
Users who do not agree to the fully anonymised storage and evaluation of data from their visit may object to storage and use at any time with a mouse click.
The switch can be found at the bottom of the page.
For this purpose, a so-called opt-out cookie is stored on the end device, which prevents the collection of user data when visiting this website. For the objection to take effect, the cookie must be stored on each end device used. Because the cookie is stored in the respective browser (internet programme), if several browsers are used on one device (e.g. Internet Explorer, Chrome, Mozilla Firefox), the cookie must be stored in each browser.
If all cookies on a device are deleted, the opt-out cookie is also deleted and must be activated again.

When users contact us, the data provided are processed in order to handle the enquiry. The following
contact options exist:

The legal basis for processing the data transmitted via the contact form is Art. 6(1)(e) GDPR.
- Email: In this case, the personal data of the user transmitted with the email (for example: last name, first name, address), at least the email address, as well as the information contained in the email, are stored exclusively for the purpose of contacting you and handling your request. The legal basis for processing the data transmitted by email is Art. 6(1)(e) GDPR.

Registration for events
If you register via a registration form in response to an invitation to an event, your details from the registration form, including the contact data you provide there, are stored by us for the purpose of processing the registration and for holding the event. We do not pass these data on without your consent.
The processing of the data entered in the registration form is therefore based exclusively on your consent (Art. 6(1)(a) GDPR). You may withdraw this consent at any time. An informal email to us is sufficient. The lawfulness of data processing carried out until withdrawal remains unaffected by the withdrawal. If you withdraw your consent, we can no longer send you information about the requested event.
The data you enter in the registration form remain with us until you request deletion, withdraw your consent to storage, or the purpose for data storage ceases to apply (e.g. after the event has been held). Mandatory statutory provisions – in particular retention periods – remain unaffected.
Processing of personal data in connection with the use of social networks
FONAP offers on its website the option of visiting the association’s profiles on social networks and platforms such as LinkedIn and YouTube.
These online presences are operated in order to interact with users active there and to provide information about projects and services. A click on the logo of a social network leads to the FONAP profile on the respective network.
When visiting the platforms, no personal data are collected, used or stored by FONAP, but they are collected, used and stored by the operators of the respective social network. This also occurs if visitors themselves do not have a profile on the respective social network.
The individual data-processing operations and their scope differ depending on the operator of the respective social network. FONAP has no influence on data collection and its further use by the operators of the social networks. The extent to which, the location at which and the duration for which the data are stored, the extent to which the networks comply with existing deletion obligations, which evaluations and combinations of the data are carried out, and to whom the data are disclosed, cannot be fully determined by us.
When accessing a FONAP profile on social media, the terms of use and privacy policies of the respective operators apply.
The privacy policy for the social network LinkedIn, operated by LinkedIn Corporation, 2029 Stierlin Court Mountain View, CA 94043, USA, can be viewed at https://de.linkedin.com/legal/privacy-policy.
The privacy policy for the social network YouTube, operated by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, can be viewed at https://www.gstatic.com/policies/privacy/pdf/20190122/f3294e95/google_privacy_policy_de_eu.pdf.
Embedding of videos
Videos from YouTube (in particular from the FONAP channel) are embedded on the website. The videos are stored on the video platform YouTube, operated by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland), and can be played directly from our website.
Embedding uses the extended data protection mode offered by YouTube and a two-click solution. In addition, the videos are deactivated (not present) when the page is loaded, so that data are not automatically transmitted to YouTube servers, which may be located outside the European Economic Area. The videos can be played after the user consents to the respective processing by clicking the video (Art. 6(1)(a) GDPR). A data connection to the YouTube server is established only after this active click.
When you play the videos, certain data are transmitted to Google. This happens regardless of whether you have a YouTube or Google account that you are logged into, or whether no user account exists. If you are logged into Google, your information can be associated directly with your account. We have no influence on data processing by Google. Further information on the processing of your data by Google can be found at https://policies.google.com/privacy.
Disclosure to third parties
FONAP does not disclose personal data to third parties unless it is legally obliged or entitled to do so by statutory provisions.
Transfers of data abroad
FONAP does not transfer personal data to third countries. When using social media, the data protection provisions of the respective providers apply.
Duration of data storage
User data are not retained longer than is necessary for the purpose for which they are processed or due to statutory retention obligations.
IT security of user data
The protection of personal data is an important concern for FONAP. Technical and organisational security measures therefore ensure that the data are protected against accidental and deliberate manipulation, accidental deletion and unauthorised access. These measures are updated in line with technical developments and continuously adapted to the risks.
